"For me, the most important thing about this data is tracking the number of working hours and overtime – that way we can see if any departments have excessive workloads," says Dejan Kobal, Co-founder and CEO. 

Kingsbox was founded in 2015, when co-owners and directors Luka Železnik and Dejan Kobal started the company out of their home garage. The company manufactures and sells functional training equipment, focusing mainly on full-body workouts. Their products are intended for both professional gyms and private use. The company offers 1,300 different products for exercising on the market.

Kingbox first started offering their products on the Italian market; now, they are being sold all over Europe. Recently, sales have been particularly strong in Spain, France and the Benelux. At the beginning of 2022, the company also started expanding to markets across the Middle East through a franchise in Dubai.

Their goal is to establish a global presence. The company is not that interested in expanding to America for now, because of high transport costs. They are more focused on a fast expansion towards the East instead, since the Chines and Asian consumers in general highly value European products.

In recent years, the company received several important awards:

Challenges: Data collection chaos

"If I were still collecting data the old fashioned way, now that we have 36 employees, it would take weeks. With All Hours, it takes four hours a month to process payroll," states Živa Bizjak Cotič, Head of Human Resources. 
"Kingsbox implemented Spica's All Hours solution back in 2017, when the company had only four employees. Now that we have 36 employees, we absolutely cannot imagine organizing everything without All Hours. Nothing has changed for us since the new legislation on recording working time entered into force. If we were to introduce such a solution now, it could be quite chaotic. I am happy that we have been using All Hours for a while now," says Živa Bizjak Cotič, Head of Human Resources at Kingsbox.

Before introducing All Hours, the company was facing several challenges. Some employees did not enter data at all, some forgot to do so, others entered their data retrospectively. They knew they had used up some vacation days, but could not remember the exact dates. "It was crazy," says Živa Bizjak Cotič, even taking into account that the company had very few employees at the time.

She is certain that it would take weeks to collect the data the old fashioned way, now that they have 36 employees. However, with Spica's All Hours solution, it takes her just four hours a month to process payroll.

"I use Spica’s All Hours for everything: clocking in, clocking out, marking and tracking vacation days, overtime, etc. If I need a day off, I discuss it with the head of my department and enter it in All Hours," says Denis Štajdojar, Industrial Design Engineer. 

Kingsbox points out that the biggest benefits of All Hours are in HR management. It is easier to process payroll, track staff leave and other absences.

The procedures for approving leave, as well as for the employees reviewing leave balances and other records are very simple. Employees can record their breaks, business trips, other exits, etc. They mostly use a badge to clock in and out, but this can of course also be done via mobile phone.

Employees can keep track of their monthly records, leave balances and report sick leave. Parental leave is being reported a lot this year, as Kingsbox’s employees are predominantly younger. Perhaps that is why there are no particular issues with using the app. Živa Bizjak Cotič points out that new employees are able to use the app with ease as well, since it is very user-friendly and simple.

"When talking to friends who work in HR in other companies, I often heard them say that their employees were reluctant to use the apps because they were afraid they would be constantly controlled. They did not fully trust such applications. Kingsbox has had no such problems. No one has ever mentioned that they see this solution as a tool of control," says Živa Bizjak Cotič.


This, she says, is proof of how beneficial it is to implement such a solution early on, when the company is still small.

"I can't imagine introducing the solution with more than a hundred employees in the company. A friend of mine who works in HR told me what an exhausting experience that is," adds Živa Bizjak Cotič.

The solution, of course, can also prepare data analyses for the company's management. 

"For me, the most important thing about this data is tracking the number of working hours and overtime – that way we can see if any departments have excessive workloads. Another thing I like is the transparency of the program: everyone always knows the status of his or her working hours, leave balances, etc.," says Dejan Kobal, co-owner and CEO of the company.
